Privacy notice
What DeiForma keeps, and why
DeiForma is a free resource for staff of participating Ontario Catholic school boards. It is run by an individual educator and follows Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). This notice is written to be read, not skimmed.
Why we collect anything
To check that you work for a participating board, to keep the Studio within a fair weekly allowance, to stop abuse, and to answer your requests. Nothing else; no marketing without a separate yes from you.
What we collect
Your board e-mail address, used to send you a sign-in code and then kept only as a keyed code (a one-way code made with a secret key, so it cannot be read back as an address without that key); the dates and times you sign in; and, for each Studio draft, the kind of resource and the credits and tokens it used. We do not collect names, passwords, your prompts or your drafts, and nothing about students, ever.
Where it lives
In a database in Canada (Central), with access limited to the server and to the site's owner. The sign-in e-mail travels through a transactional mail service; Studio requests go to Anthropic in the United States and contain no personal information; Anthropic's API retains inputs for a limited period under its usage policies.
How long we keep it
Sign-in codes: ten minutes. Sessions: thirty days from last use. Usage records: thirteen months, then deleted. Your record as a whole: deleted on request.
Cookies
One strictly necessary cookie that keeps you signed in on your device, and one that tells the page you are signed in. No analytics, no advertising, no third-party trackers.
Your rights
Ask to see, correct or delete what we hold about you by writing from your board address to contact@deiforma.ca. You may also complain to the Office of the Privacy Commissioner of Canada.
Safeguards
Encrypted connections, hashed sign-in codes, keyed identifiers, database rules that allow no browser access, administrator functions behind sign-in, and a breach log with a notification plan.
